PlanPro version updates Winter 2024: Personal Favorite Tasks; KPI (metrics) Module Enhancements; HR Manager Comments to Exit Interview

Below is a brief summary of the updates that have become available to our customers in the first three months of 2024 as part of ongoing updates (9.3.2.1 –9.3.2.9).

Activities and activity/task views

  • Each user can mark activities as their personal favorites, which helps to better monitor and manage currently important or frequently used activities. The previous activity-based favorites have been renamed to stars, which helps distinguish user preferences more clearly.
  • Now you can easily link activities to activities. For this, you no longer have to go to the Gantt view, but you can also link directly from the activity form. In the list view of the activity, you can also see at a glance which activities the link has been created for.
  • The activities can be indicated directly on the activity card, how many percent are complete and the progress % of the entire project can be monitored. It is automatically calculated from sub-activities to top-level activities.
  • Major changes to the permissions logic for locked activites. It is possible to add a team member to a locked activity (including with a bulk action), change the responsible person and the responsible of the task stage (unless the calendars are set to private in the settings) and add-remove the link to the performance review form.
  • Long-term activities can now have a different expected result for each year.
  • When adding a task stage to an activity (with Enter), the activity is now saved automatically.
  • The activity card now also shows the modification time in the summary and description.
  • There is a new activity filter in the report, which can be used to select only a few specific activities for which data is desired from among the activities of the entire organization.
  • When logging in to PlanPro, the user always ends up in the activity view they last used (list, whiteboard, schedule, calendar or Gantt). 
  • The main user can determine which activity views (task board, schedule, calendar, Gantt) are used in the organization settings.

Planning and measuring working time - calendar

  • Calendar entries that go past midnight are now displayed as a regular entry (until now called All Day Activity).
  • The possibility to change the date and time of the calendar entry (to the nearest 1 minute) was added to the calendar entry form.
  • In the calendar view, graphs related to the logged real time can be viewed on the activity log chart.
  • The activity card also displays calendar entries without comments. This allows you to add a comment directly from the activity card later, if desired, without going to the calendar view.
  • If the types (e-mail, meeting, etc.) are not used in the organization, the main user can turn off the selection of calendar entry types in the settings.
  • Additional options added to the report for displaying data of only employees who have logged actual time, time, type, etc. of calendar entries.

Strategy and KPI (metrics) module

  • It is now possible to perform bulk operations on metrics, such as locking and unlocking metrics, adding and removing plans, adding contributors or related items, in the metrics detail view.
  • The basic data fields of the metric input form can now be locked, i.e. made read-only, so that they are not changed accidentally. Only the input fields for the actual monitoring data are open on the locked meter card. The right to lock meters belongs to users with general locking rights and the person in charge of the meter.
  • According to the organization’s needs and preferences, the main user can determine which data fields are shown on the metric entry form in the institution’s settings.
  • Users of the department metrics functionality can now specify an additional department actual formula in addition to the department actual calculation.
  • In addition, many other minor improvements regarding entering or displaying data on the metric (KPI) entry form and the metrics detail view.

Performance appraisal module

  • Added the option to import data (e.g. completed training) from an Excel file into surveys.
  • After talking with the employee, the HR manager can add additional comments to the exit survey. Only users with the right to see all conversations can access the data.
  • By selecting activities from the work plan through the performance appraisal form, you can now link an employee, i.e. add a team member also to the locked activities. The basic data of the activity remain read-only (e.g. name, deadline, connection to the strategic goal), but the proportion can be determined.
  • When adding activities in the work plan as a co-executor via the chat form, it is no longer necessary to have rights to see and change other activities. At the same time, these rights are still necessary in view of the activities of the work plan.
  • Long-term activities lasting more than a year can now be described with a different expected result for each year.
  • On the performance review form, the general summary field is always displayed next to the goals (also empty), if its display is specified in the form settings.

Other enhancements

  • Through the AD and Azure AD integration, it is now possible to import the manager’s name, the date of employment, the end date of the trial period into user data. The dates are used to apply the automatic dispatch rule for probationary interviews to new hires.
  • Improving Azure AD interface SSO authentication and reducing user account lockout time when incorrect user data is entered.
  • There are two important additions to the creation of the annual plan: you can choose which modules are linked and which are not; the structure is copied from departments instead of creating plan relationships (this ensures that the structure of previous annual plans remains unchanged).
