This Policy applies to visitors to the PlanPro website, people who contact us, newsletter subscribers, people who register for events and webinars, and contact persons of our customers and partners.
Where personal data is entered into the PlanPro software by a customer, the customer is generally the data controller and PlanPro processes the data as a data processor on the customer’s instructions. Such processing is governed by the customer agreement and applicable data processing terms.

Enquiries, demos and offers
When you contact us or request a demo, we may process your name, email address, telephone number, organisation name, and information provided as part of your enquiry and subsequent communication.

When communicating with a representative of an organisation, the processing is based on PlanPro’s legitimate interest in managing business communications and responding to interest in PlanPro’s services. If you intend to enter into an agreement in your own name, the processing may be necessary to take steps at your request prior to entering into a contract.
Customers and partners
If you are a contact person for a PlanPro customer or partner, we may process your name, job title, professional contact details, and information generated in the course of our cooperation.
We use this information to manage customer and partner relationships, perform agreements, provide information related to our services, and organise customer support and training. The processing is based on PlanPro’s legitimate interest in managing customer and partner relationships and agreements entered into with organisations.
Webinars and events
When you register for an event or webinar, we may process your name, email address, organisation, job title, and information related to your registration and participation.
We use this information to manage registration and organise the event, send relevant information and reminders, and provide materials related to the event. The processing is based on your request to participate in the event and PlanPro’s legitimate interest in organising the event.
Registering for an event does not automatically subscribe you to the PlanPro newsletter.
Website operation and security
When you use our website, technical logs may record your IP address, the time of the request, the page visited, and technical information about your browser and device.
We use this information to ensure the operation and security of our website, resolve technical issues, and prevent misuse. The processing is based on PlanPro’s legitimate interest in ensuring the reliability and security of its website.
If you subscribe to the PlanPro newsletter, we use your email address to send you PlanPro news, software updates, relevant materials, and information about events and webinars. The processing is based on your consent.
We use Smaily, provided by Sendsmaily OÜ, to send and manage our newsletters.
If newsletter statistics are enabled, information may be collected about email delivery, opens, and clicks on links included in the email. These statistics may be associated with the recipient’s email address. We use this information to analyse newsletter performance and the effectiveness of our content. Due to technical limitations, email open statistics may not reflect all actual opens.
You can unsubscribe at any time using the unsubscribe link included in the newsletter or by contacting us at info@planpro.ee. Withdrawal of consent does not affect the lawfulness of processing carried out before the withdrawal.
Personal data is accessible to PlanPro employees and service providers only to the extent necessary to perform their duties or provide their services.

When using Google and Microsoft services, personal data may be processed outside the European Economic Area (EEA). In such cases, applicable data protection safeguards are used, such as the EU–US Data Privacy Framework or the European Commission’s Standard Contractual Clauses.
We retain personal data for as long as necessary to fulfil the purpose for which it was collected. We then delete or anonymise the data unless longer retention is required to comply with a legal obligation or protect against potential claims.
Enquiries, demos and offers: until the enquiry and agreed follow-up activities have been completed. If a customer relationship is established, relevant information is retained for the duration of the customer relationship and afterwards to the extent necessary to handle potential claims.
Customer and partner contact details: for the duration of the customer or partner relationship and afterwards to the extent necessary to fulfil contractual obligations or handle potential claims.
Webinar and event data: until the event and agreed follow-up activities have been completed, unless there is another legal basis for further processing.
Newsletter: until you withdraw your consent or we stop sending the newsletter. We may retain information necessary to demonstrate consent for longer where required to demonstrate the lawfulness of processing. We may also retain a record of an unsubscribe request to prevent further unwanted communications.
Smaily allows personal data associated with a contact to be deleted. When a contact is forgotten, statistics relating to sends, opens and clicks are retained in anonymised form.
Technical and security logs: for as long as necessary to ensure the operation and security of the website. Information relating to a security incident may be retained for as long as necessary to resolve the incident and handle potential claims.
Google Analytics 4: the retention period for event data is 2 months, and the retention period for user data is 14 months, in accordance with our Google Analytics data retention settings.
Depending on the circumstances of the processing, you have the right to receive information about the processing of your personal data and access your data, request the correction of inaccurate data, and, where provided by law, request the deletion of your data or restriction of processing.
You may also have the right to data portability and the right to object to processing based on legitimate interests for reasons relating to your particular situation. You can object to direct marketing at any time.
Where processing is based on consent, you can withdraw your consent at any time. Withdrawal does not affect the lawfulness of processing carried out before the withdrawal.
