PlanPro Version Updates, Autumn 2023: Additions to the Calendar; KPI (metrics) Module Enhancements; Data Import from Excel; Automatic Send of Trial Period end Reviews

During the last six months, a lot of new features have been added to the PlanPro software . As always, new functionality has been developed based on user needs. Many of our customers have recently showed interest to systematically track how much time is spent on tasks, and thus we have made several useful additions for time planning and tracking actual time.

Developments of the metrics module continued. We have paid attention to the fact that the user finds what he needs and we help him navigate the amount of data.

Below is a brief summary of the updates that have become available to our clients during version updates (9.3.1.0 – 9.3.2.0).

Planning and tracking working time - calendar

  • At the request of users, we brought back the possibility of 24 h time planning. Calendar entries can now be created with an accuracy of 15 minutes, or,if necessary, for example 15 or 45 minutes.
  • By dragging the activity to the calendar, you can now specify what type of activity (entry) it is. By default, there are following types: e-mail, phone call, meeting.  Additional types can be created by admin user  in the settings.
  • In the calendar view, you can now add a comment to a calendar entry, which is also stored in the comments section of the activity.
  • We also improved the control of rights to see other users’ calendar entries.

Activity/task views

  • In the activity list view, each user can now change the order of the data columns. PlanPro remembers the user’s preference, and the next time the view is opened, the same sequence is displayed. The grouped view selected by the user is also saved.
  • The action now has  a change date with time.
  • It is possible to add links with metrics to activities as a bulked action.
  • Options have been added to the activities filter to show only activities that contain task stages, as well as activities whose stages are due in the next 7 days.
  • The Kanban view now also displays the deadlines and priority flags. When you hover over an entry with the mouse, you can see parent activity in the tooltip.
  • In the activity list, in a separate column, you can see the connections between the activities and the metrics, the current year’s goals and results. Alternatively, acquired metrics can be displayed under activities. 
  • Both the activity card and the form for creating connections show which type it is, and there is also a filter for filtering types.

Strategy and KPI (metrics) module

  • In the detailed view of the strategy, goals and metrics are now in one complete picture. With one click, you can see all related metrics for strategic goals, along with goals, results, and implementation status.
  • Department-specific metrics – different targets can be set for different units and each unit can report its actual. By default, departmental targets are always pre-populated with global target values. 
  • For each metric, it is possible to set a different calculation formula for the actual result  (sum, average, minimum, maximum) and specify whether bigger is better or smaller is better. On the basis of these determinations, percentages of achievement of results are calculated, both for the general and  department KPIs.
  •  An automatic colored evaluation dot generated based on the percentage of actual fulfillment of the result helps to quickly get an overview of the status of achieving the goals of the metric.
  • The list of metric  units has been expanded at the  request of customers with several options: point, hectare, day, hour, minute, m2, m3, kWh, km, km/h.
  • In the full view of the metrics, you can also use the department filter, the shortcut “My metrics” helps the user to quickly see only those metrics that are directly related to him. A simple view has been created for entering the actual indicators, with the user’s department in front by default.
  • Various metric form data field display preferences are saved per user and several other minor additions.

Activity form

  • It is now possible to add an annual performance report to the activity. If the activity lasts more than a year, it is possible to add an annual summary for each year.
  • You can now directly open and add new relationship records (strategy, action plan, risks) on the activity form without going to the detailed view of the corresponding module.
  • When transferring an activity to a user already involved in the activity, the planned time of the previous user is added.

Performance appraisal module

  • Now you can create rules to automatically send out questionnaires and trial end reviews based on the employee’s job starting date or the probationary period end date, or set a specific date when the sending out will take place.
  • The ability to display comparisons of the engagement survey results of this year and the previous period on the diagram added to the summary.
  • Now you can also view a preview of the questionnaire in the questionnaires archive.
  • Mandatory questions can also be applied in the competence model attached to the main questionnaire, if desired.

Other enhancements

  • If you have managed your tasks, strategic goals, risks and KPIs in Excel, now you can import data from Excel into PlanPro software.
  • Created possibility to automatically and regularly save reports in xls and csv format for easier user-managed file-based interfaces with PlanPro external software (e.g. different analysis and visualization software, etc.).
  • Added support for PHP 8.2.
  • In the report, the possibility to sum up the budget of the accounts to the upper accounts in the view grouped by financial sources was added.
