Ramirent’s HR Manager Kristi Velbaum shares how they chose their performance review software, what changed after implementing PlanPro, and why even the initial skeptics became the software’s biggest advocates.

Ramirent was looking for a solution that would make the performance review process more transparent and simpler — for managers, employees, and the HR department alike. When choosing the new solution, it was important that it worked across all three Baltic countries and supported four languages — Estonian, Latvian, Lithuanian, and English. PlanPro offered exactly that: from one platform, there was access to a multilingual questionnaire where each employee could choose their preferred language.

Ease of use was also highly valued. Since many Ramirent employees don’t work with computers daily, the platform had to be simple and intuitive. Additionally, it was important that data security was ensured, as performance reviews deal with sensitive information.

Performance Reviews in Four Languages and One Unified System

Ramirent moved its entire conversation process to the PlanPro platform. PlanPro is used as a supporting tool to prepare performance review, document summaries, and help managers track agreed goals and actions from 1:1 check-ins. The conversations covered the entire organization, from warehouse workers and customer service representatives to top management.
 
Previously, performance review preparation and summaries were done in Word documents sent via email. Now, all data, appraisal statuses, and results are digitally managed in one place. Managers can easily handle conversations, and HR has a clear overview of the entire process. Navigation in the PlanPro environment is intuitive and does not require separate training for employees or managers. Kristi hasn’t specifically measured the time savings, and it would be very difficult to assess. However, the quality of conversation preparation is definitely better, and managing results and follow-up actions is noticeably simpler.

Quick and Smooth Implementation Across Three Countries

The PlanPro implementation process at Ramirent moved quickly — the software was set up and ready to use in just a couple of weeks, and the first conversations could begin. Once the Microsoft Entra ID integration was complete, the structure and users were in the system, and conversation forms were set up, we agreed on a schedule with managers for conducting the conversations. The entire process went according to plan, and conversations were completed within the agreed timeframe. The most proactive managers had their first conversations within the first week.

Additionally, last year’s Word files from the conversation were uploaded to the software so that all information would be in one place and managers could easily refer to previous conversation data.

From Skeptic to Fan

As with any change, there were some initial hesitations about implementing PlanPro. Some managers worried that the new software would make the process more complicated or would be necessary only for the HR department. Over time, however, it became clear that managers were the biggest winners — conversation preparation and tracking follow-up actions became easier, and the entire process became more meaningful.

Kristi believes that digitalizing the performance review process is a logical step today for any organization that values people development and purposeful management. Both managers and HR save significant time on process administration, leaving more time for meaningful activities — supporting employees, analyzing results, and planning forward-moving steps. These are the activities that truly matter and create added value.
 
According to her, the key to smooth implementation is clear communication and collaboration. It’s important to openly discuss in the company why we’re making this change and what users will gain from it. And secondly, good collaboration with the software provider. When both parties are open and solution-oriented, the entire process runs very smoothly.
