In the spring of 2022, the North Estonia Medical Centre adopted PlanPro software strategy execution and KPIs, project and task management and action planning modules. The software was introduced to provide a comprehensive view of strategic goal execution down to the unit level and to ensure consistency in achieving objectives. The employee appraisal module, used for tracking staff development and contributions, was already in place prior.

We initially implemented PlanPro with the annual performance review module, as we needed a unified platform to monitor employee development and contributions. Over time, we added the work plan module to gain a clearer view of our strategic goals’ implementation across all departments. Today, the work plan module is used even more broadly, including individual and departmental project and task management.
The primary users of the software are managers at various levels. However, team members also actively use the platform, as they provide regular feedback through surveys, report progress on key projects, and track their ongoing tasks. The performance review module has an even wider range of users, including doctors, nurses, and attendants.
With PlanPro, we can monitor our strategy execution effectively. It allows us to track how many projects within our annual action plan contribute to achieving our strategic objectives and understand their current status. Additionally, PlanPro enables us to link each activity to its corresponding strategic objective (or multiple objectives).
With PlanPro, we conduct reviews of our action plans both across the hospital and increasingly at the departmental level. Departments have created their own action plans, and thanks to PlanPro, there’s no need to duplicate entries when a project is part of multiple action plans (such as both the hospital-wide and specific clinic plans). Currently, hospital-wide action plan reviews take place quarterly and are conducted exclusively using PlanPro, while departments may hold their reviews more frequently. These reviews allow us to calibrate resources by reallocating them to projects that require additional support or scaling down where possible. They also provide visibility into any barriers that need to be addressed.
With PlanPro keeping all of our activities centralized, we can easily track our progress toward achieving goals. This means there’s no risk of a project started in 2023 disappearing from view in 2024 due to a new Excel file, which also reduces our administrative burden. For instance, when planning our 2024 activities, we can easily carry over any unfinished projects from 2023, assuming they are still relevant.
Implementing the software was relatively easy, as the PlanPro team managed a large part of the process. It’s also encouraging to see the software’s ongoing development, with new features continually added to simplify our work. With most other software, waiting for even a single update can take years.
PlanPro has enabled us to accomplish tasks that would have been very challenging or even impossible with Microsoft Office tools. Previously, we managed our strategic plans and annual action plans using Excel files. Since Excel files don’t synchronize, there was always duplication and information loss. Starting a new year required manually copying information from one place to another. Determining how each year’s projects contributed to our strategic goals was a massive task that could take me an entire month. Today, this process takes me less than a week. Moreover, I no longer need to chase down department heads for updates on their units’ activities, as everything is transparent in PlanPro.
Our approach to using PlanPro is to centralize all critical activities within the platform. Some units still track activities in both Excel and PlanPro simultaneously, but this duplication is gradually decreasing over time.
In the healthcare sector, there’s a general preference to avoid multiple platforms for different tasks. One of the advantages of PlanPro is that it consolidates several management functions, such as annual performance reviews and work planning, into a single platform. This integration allows for information from the work plan to be reflected directly in annual reviews, creating a seamless experience.
